At Craft, documents are at the heart of everything we do. Task Management brings your tasks to the surface, making it easier to manage them across all your documents while keeping tasks connected to the content they belong to, without disrupting your flow.
Craft’s task system is inspired by the GTD (Getting Things Done) framework, helping you capture, organize, and complete tasks efficiently.

Tasks hub

The Tasks hub provides a centralized view for managing all your tasks across projects. You can see the list of tasks and pinned documents right from this interface, without needing to dive into each document.   • Inbox - Quickly capture tasks without tying them to a document
  • Pinned Documents - Keep frequently accessed task lists within reach
  • Documents with Tasks - View all documents containing tasks

Inbox

The Inbox is your space to quickly capture and organize tasks outside of documents. Tasks in the Inbox can be moved to any document later when you’re ready. Inbox view showing task capture and organization

Features

  • Add new tasks without a document: Quickly jot down tasks without tying them to a document
  • Set start dates: Schedule when a task should appear in the Calendar View to keep tasks aligned with your daily priorities
  • Add deadlines: Assign deadlines, though note that deadlines do not trigger notifications or appear in the calendar for now
  • Define task location: Choose to keep tasks in the Inbox or add them directly to any document. If added to a document, the task will appear at the top

View options

  • Scheduled tasks: Decide if you want scheduled tasks to appear in the Inbox
  • Completed tasks: Enable to view or hide completed tasks
The Inbox is great for quickly capturing tasks when you’re in meetings or on the go, giving you time to sort and categorize them later.

Pinned documents

Do you have certain documents that you frequently reference or update? Pin documents in your Tasks hub for quick and easy access. Whether it’s a project plan or a running to-do list, you can keep your most important documents within reach. Pinned documents section

Working with pinned documents

  • Pin documents: Easily pin priority documents using the pin icon
  • Search or drag: Quickly find or drag documents to the pinned section
  • Manage tasks directly: Mark tasks as done, uncheck tasks or add new ones
  • Schedule and set deadlines: Scheduled tasks from pinned docs will appear in the Calendar View under the relevant date
  • Solve/unsolve tasks: Mark tasks as done directly in the pinned doc section or calendar
  • Move tasks: Move tasks from a pinned document to the Inbox if needed

Documents with tasks

This section displays all documents that contain tasks, ensuring no task is left forgotten. Documents with tasks view

Features

  • Enable daily notes or completed documents: Toggle whether daily notes or documents with completed tasks appear
  • Task management: Click on a document to view, manage, and update tasks
    • Mark as done or cancel: Easily mark tasks as done or canceled. Once done, the completion date will be recorded
    • Manage tasks: Move, delete, or cancel tasks directly from the list
    • Open the document: Jump directly into the document to view it in full context
Use this section to quickly review all documents with open tasks, helping you prioritize what needs to be done next.

Planning your week

Beginning your week by laying out your tasks for the upcoming days is the first milestone for a more planned routine. It’s useful to segment your tasks between different areas, according to your needs. For example, you could separate “Personal Tasks” from “Work Tasks” by putting them in different Craft documents: Personal tasks document example Work tasks document example
Focus on putting down only the essential or recurring tasks at first. Seeing a long list of tasks ahead of you can be overwhelming. Depending on your workflow, a list of 10-20 items could be ideal. Smaller victories will keep your morale up.

Define priorities with schedules and deadlines

You can set specific schedules or deadlines to each of your tasks. Select the task block you’d like to assign a deadline or a schedule for and use the hovering toolbar to define the date: Setting schedule and deadline for tasks Once the documents with your weekly goals are complete, go to your Tasks section in Craft and pin those documents for a better overview.

Use the Calendar to see your tasks per day

Setting a schedule for your tasks is especially helpful because it will automatically organize each of your to-dos according to the date you’ve set for them. Set reminders for critical tasks
